Privacy Policy

MindTrace is a voice journal. This notice explains the data used to save your entries, create AI summaries, and offer optional cycle tracking and subscriptions.

Data you provide

We store your recordings in Firebase Storage. Journal dates, recording duration, transcripts, summaries, sentiment scores, and keywords are stored in Firestore. If you enable Cycle & mood, the dates, flow, symptoms, and energy check-ins you enter are also stored in Firestore. Firebase Authentication creates an anonymous account ID so your data can be associated with your account.

Support requests

If you use the support form, we store the email address and message you provide so we can reply. A daily technical identifier is used to limit repeated submissions. Support messages remain stored until we remove them.

AI processing

When you save a recording, a Firebase Cloud Function sends its audio to OpenAI for transcription. The resulting transcript is sent to OpenAI for a summary, sentiment score, and keywords. These outputs are saved with your entry. Do not record information that you do not want processed this way.

Subscriptions

If you choose Premium, Apple handles App Store payments and RevenueCat provides subscription status to the app. We do not receive your payment card number. Cancelling a subscription is managed separately in your Apple account.

Sharing and advertising

Your journal is not public. We use Firebase, OpenAI, and RevenueCat to provide the features described above. We do not sell journal data or use it for advertising. These providers may process data under their own service terms and privacy notices.

Retention and your controls

Recordings and entries remain saved until you delete them or your account. In the app, Settings lets you export journal and cycle records, delete individual or all journal entries, delete cycle records, and delete your account. Account deletion removes the account and its stored journal, audio, and cycle data from MindTrace. Apple and RevenueCat may retain transaction records under their own policies. Deleting a MindTrace account does not cancel an App Store subscription.

MindTrace currently uses anonymous accounts. Removing the app or signing out may make an existing account and its data inaccessible. Export any records you want to keep before deleting your account.
